A first call with a software company is most useful when you bring a few things with you. None of them need to be polished.
1. The problem in one sentence
What isn't working today, and for whom? "Branches can't see each other's stock" is more useful than a feature list.
2. Who will use it
Staff, customers, partners, or all three? Roughly how many of each?
3. What you use now
Spreadsheets, an old system, paper forms. Screenshots and sample files help a lot.
4. Must-haves for version one
The few things it must do on day one. Everything else can be a later phase.
5. Timing and constraints
Deadlines, compliance needs, languages, devices and any systems it must connect to.
